Inventory with Variants

Access: Click Inventory > Groups in the sidebar menu

Manage products that come in multiple variants (sizes, colors, styles, etc.). This section is specifically for products with variations.

What Are Inventory Groups?

Inventory groups are products that have multiple variants. For example:

  • Cups available in Small (12oz), Medium (16oz), Large (22oz)
  • T-shirts in different colors (Red, Blue, Green)
  • Syrup in various flavors (Vanilla, Hazelnut, Caramel)

Viewing Grouped Inventory

  • Products are organized by main product name
  • Each variant is listed with its specifications
  • Stock is tracked separately for each variant
  • Pricing may differ per variant

Adding a Product Group

  1. Click Add Group button

  2. Step 1: Select Category

    • Choose the main category
    • Select product category
    • Click Next
  3. Step 2: Select Product

    • Choose the product that has variants
    • System will load available variants
    • Click Next
  4. Step 3: Configure Variants

    • For each variant:
      • Set initial quantity
      • Set reorder level
      • Confirm pricing
      • Add variant-specific notes
    • Review all variants
    • Click Create Group

Editing Variant Quantities

  1. Find the product group in the table
  2. Click Actions (⋮) > Edit Variants
  3. An edit sheet opens showing all variants
  4. Update quantities for specific variants:
    • Use the dropdown to select a variant
    • Enter new quantity
    • Set reorder level
  5. Click Update to save changes

Variant-Specific Features

  • Each variant has its own stock count
  • Low stock alerts trigger per variant
  • Can deactivate specific variants while keeping others active
  • Pricing is tracked separately per variant

Managing Variant Groups

  • View Details: See all variants in the group with current stock
  • Edit Variants: Update stock levels or specifications
  • Delete Group: Remove entire product group (requires confirmation)

Each variant is tracked independently, allowing for precise inventory management of product variations.
